An exceptionally confident and motivated team player is needed to join our Corporate Management Support Team as a Support Officer (in essence a highly skilled Personal Assistant) to work as part of the Adult Social Care and Housing team supporting the Director and her Service Directors as well as providing essential support to the Isle of Wight Coroners Service. This challenging post will suit a highly organised administrator, proficient in working accurately and quickly, with minimal supervision. This will be a permanent office based post, working 3 days a week within the Coroners Service and 2 days a week in Adult Social Care and Housing.

As an enthusiastic, professional, and friendly Support Officer, you’ll be working in a positively challenging environment, jumping in at the deep end, to support 3 of the council’s main statutory services where urgent and life changing decisions are made every single day.

Confidence is essential as ultimately your job will be to ensure that senior leaders in the council have the tools and information necessary to manage their roles and the department whilst also providing more traditional administrative duties as well. You’ll be expected to take on live responsibilities from day one, embracing learning and development and a demanding workload.

As a highly effective communicator you’ll understand the importance of confidentiality, tact and diplomacy and you’ll have the opportunity to use these key skills as you liaise with colleagues at all levels of seniority both internally and externally as well as with families who are experiencing bereavement. We will rely on you to carry out a number of functions which may include:

  • preparation of files/documents
  • scanning and copying
  • taking notes at and facilitating meetings
  • managing very busy diaries
  • anticipating and supporting the needs of the department’s senior managers
  • responding to telephone enquiries
  • inputting data and uploading files

The workload is not simple, it is dynamic and the environment within which you will be working is fast paced and constantly evolving. You will need to juggle multiple tasks with a ‘can do’ proactive attitude, acting on your own initiative and anticipating the needs of the service in which you are working.

Your inter-personal and IT skills will contribute to process development and communication, and you, together with your two colleagues who undertake similar roles, will be our link to the wider Corporate Management Support Team.

In this exceptional role, you’ll work alongside a close-knit team of professionals within Adult Social Care and Housing and in the Coroners Service, supporting each other. When needed, you’ll provide cover for colleagues, as they will for you.

Coroner’s Office Administrative Role (3 days a week – Monday, Wednesday and Friday)

The Corporate Management Support Officer role will for 3 days a week provide administrative and office support to the Isle of Wight Coroner’s Service. This part of the role will provide crucial support to the coroner's office undertaking administrative and clerical tasks. 

You will work alongside the team of Coroner’s Officers to support the coronial process and His Majesty’s Senior Coroner.

In this role you will often act as a first point of contact for the public, manage case files, and assist with inquest preparation. 

Key Responsibilities:

  1. Public Contact: Serving as a first point of contact for the public, handling inquiries and providing information.
  2. Case File Management: Organising and maintaining case files, ensuring all documentation is accurate and up to date. Scanning and uploading important information to case files.
  3. Inquest Support: Assisting with the preparation for inquests, including scheduling, gathering evidence, and preparing documents.
  4. Communication: Maintaining communication with various stakeholders, including family members, medical professionals, and other agencies.
  5. Administrative Tasks: Performing general administrative duties, such as typing, filing, and data entry. Essential Skills and Qualities.

Skills required:

  1. Excellent Communication: Strong verbal and written communication skills are crucial for interacting with diverse individuals and handling sensitive information.
  2. Organisational Skills: The ability to manage multiple tasks, prioritise effectively, and maintain accurate records.
  3. IT Skills: Proficiency in using computer systems, software, and databases.
  4. Attention to Detail: Accuracy and thoroughness are essential when handling confidential and sensitive information.
  5. Empathy and Sensitivity: The ability to interact with bereaved individuals with compassion and understanding. 
  6. Confidentiality: a comprehensive understanding and proven track record of working successfully in confidential environments where information security, data protection and confidentiality were of great importance.
