Salary: £13/hour Contributory pension scheme available.

We have an excellent record delivering a wide range of activities aimed at bringing hope and focus in the South Wight that we are able to extend through the South Wight Community Hub.

 

ACTIVITIES

As one of the frontline contacts of SWAY this role would be responsible for the smooth running of the office and administration in conjunction with the Manager. This role requires an understanding of confidentiality and safeguarding.

OFFICE – The Hub

The role is responsible for general office duties including responding to emails and phone calls, keeping documents and data current, as well as shredding. The Hub is SWAY’s office and all documentation should be kept secure and up to date.  

TASKS

The Admin Support role is involved in the wider work of SWAY as follows:-

·       Attending, taking and distributing minutes of Trustees’ (x4 a year), Subgroup and Team Meetings. Having oversight of the Manager, Youth Worker and Family Worker’s diaries

·       Logging financial transactions on Xero accounting software, including reconciliation with bank records. Administering the payroll, supplier payments and bank reconciliation.

·       Collecting money and issuing receipts and invoices, and logging financial transactions on Xero accounting software

·       Maintaining of charity policies and procedures and keeping documents up to date i.e. policies and procedures, insurance and DBS forms

·       Managing SWAY’s Calendar for the year, Dropbox and Google Drive

·       Maintaining staff records such as  worked hours (timesheets etc), holidays and sickness absence

·       Ensuring SWAY’s publicity updates (x3 a year) and Annual Review produced, printed and distributed (does not involve writing them)

·       Managing the Supporters’ lists and other data sending out updates, reviews and thank you letters/ cards

·       Updating the website, social media with forthcoming events and reports on activities and groups and producing flyers and posters etc

·       Making arrangements for camps, joint events and activities etc

·       Liaising, booking and paying for the venues for events, camps and residentials

·       Liaising with personnel for above activities and creating rotas

·       Producing and sending letters to parents and young people regarding activities and events

·       Collecting consent and permission, insurance and DBS forms (All DBS certificates are kept with the individual and viewed by Administrator)

·       Other duties as appropriate

The Admin Support role is flexible approximately 20 – 25 hour a week employment, with a core amount of time at the SWAY office at The Hub, Chale Green.
