White Windows Ltd, is a well-established local premier double glazing company based in Newport Isle of Wight. We are currently recruiting for a permanent experienced office administrator to join our small friendly team. The successful applicant will oversee the day to day administration of the business and play an essential role in our continued success.
Job Summary
To support the company by carrying out general administration tasks. Maintain a positive friendly approach as you will be the first line of contact with customers and suppliers in person, online and via telephone
Working Hours: Monday -Thursday 8am – 4.30pm, Fridays 8am – 1pm although these times can be flexible
Salary: £11.50 per hour, rising to £12.50 after 3 months’ probationary period
Key Responsibilities:
- Organise appointments, liaise with customers to keep them updated
- Manage calendars and schedule appointments as necessary
- Answer phone calls, respond to questions and requests in a timely manner
- Scan, photocopy and file documents as needed
- Set up new contracts, verifying accuracy of information and prices
- Maintain customer files, ensuring customer information is up to date
- Chase overdue payments
- Book in jobs for customers
- Support the sales and fitting team with administrative tasks
- Liaise with suppliers
- Raise invoices
- Maintain up to date computer records using Microsoft excel and word
- Basic finance duties as agreed by the Directors
- Ordering of office supplies
- Other general administrative duties
Person Specification
- Excellent communication and numeracy skills
- Working knowledge of Microsoft Office to include excel
- Strong organisational skills
- Hi level of accuracy and attention to detail
- Ability to lone work and as part of a team
- Excellent customer service skills
- Previous work experience in a similar role
- Desirable Knowledge of SAGE
