The Ellen MacArthur Cancer Trust is recruiting a Volunteer Coordinator to provide Maternity Cover for a 12 month period. The successful candidate will help support the Ellen MacArthur Cancer Trust’s growing volunteer community. They will help us achieve our goal of making our services accessible to every young person in the UK living with or beyond cancer and create the greatest possible impact for each young person we support.

 

This role offers experience across all areas of volunteer management. It includes supporting people who are interested in volunteering, helping new volunteers get started, making sure volunteers are prepared for trips, and providing administrative support to help deliver our new volunteer strategy.

 

No sailing experience or knowledge is required.

 

ABOUT THE ROLE

In this role you will work together with the Volunteer and Team Development Manager to support our team of volunteers across the organisation. 

You’ll work closely with the Operations Team to support our trip and travel volunteers. The team is based across East Cowes (Isle of Wight) and Largs (Scotland) and looks after the planning and delivery of our all sailing and outdoor adventures. 

You will also work with the Fundraising Team, especially the Community & Individuals Fundraiser and Events & Partnerships Coordinator to support our Event Volunteers.   

KEY RESPONSIBILITIES & DUTIES

Volunteer Recruitment Support

Support the recruitment and selection of volunteers by:

Managing enquiries from prospective volunteers across all volunteer roles.

Responding to enquiries and providing information about volunteering opportunities.

Coordinating recruitment activities, including arranging interviews and preparing recruitment materials.

Assisting with shortlisting and interviewing for Travel Volunteer recruitment, depending on experience. 

 

Volunteer Onboarding Support

Support the onboarding process to ensure volunteers can begin their roles safely and effectively by;

Processing volunteer applications.

Collecting and administering volunteer reference checks.

Completing identity verification checks required for disclosure checks (DBS/PVG).

Setting up and maintaining volunteer records on internal systems and databases.

Monitoring onboarding progress and ensuring all required steps are completed.

Verifying that any relevant qualifications, certifications or professional registrations are current before volunteers begin their activities.

 

Volunteer and Skipper Trip Coordination

Support the preparation and coordination of volunteers and skippers involved in sailing and outdoor adventure trips by;

Assisting with the allocation of volunteers to trips and activities.

 

Sending trip confirmations and key information to volunteers and skippers.

Ensuring volunteers and skippers are fully prepared before each trip, including;

• Sending and processing medical forms.

• Confirming disclosure checks are up to date and valid for trips.

• Ensuring the relevant safeguarding training and declarations are completed.

Preparing and distributing joining instructions and travel information for volunteers.

Supporting the Volunteer and Team Development Manager in filling volunteer vacancies created by withdrawals.

Implement the new travel pack process for volunteers travelling with young people.

 

Volunteer support

Provide ongoing support to volunteers by;

Delivering day-to-day administrative support, including management of shared inboxes and telephone enquiries.

Responding to volunteer enquiries accurately, professionally and within agreed service standards.

Supporting the delivery of the Ellen MacArthur Cancer Trust’s Volunteer Strategy.

Assisting with volunteer recognition and awards programmes. 

Supporting volunteer training and development initiatives, including the Mate training programme.

Providing administrative support pre, during and post the Volunteer & Skipper Training Conference event. 

Supporting the administration of Event Volunteers and contributing to service improvements where appropriate.

 

General tasks and duties 

Keeping process maps and documents up to date for key tasks.

Complying with all Ellen MacArthur Cancer Trust policies and procedures and safeguarding requirements. 

Attend meetings, volunteer events and other activities as required. 

Proactively, creating a discrimination-free environment amongst volunteers and the wider team.

 

Undertake other reasonable duties consistent with the level and purpose of the role.
