JOB PURPOSE
- To provide administrative support to the Town Clerk.
Other tasks
- To provide one stop access to Brading Town Council and other services and ensure that the customer receives the highest quality of service at Brading Town Council office
- To maintain and update the Town Council website
- To assist with the production of the Brading Buzz newsletter
- To assist with the management of Brading Allotments
- To assist with grant funding applications
JOB REQUIREMENTS
- To deal with correspondence from contributors and advertisers in the Brading Buzz
- To produce the Brading Buzz newsletter
- To liaise with tenants of the Allotments regarding their plots
- To deal with correspondence in respect of the allotments
- To carry out monthly inspections at the allotments
- To draft letters and other documentation to a high standard
- Operate office equipment: photocopier, phone, till etc
- Use personal computer and other office software applications including Outlook, Publisher and Excel
- Prepare files and documents in MS-Word, Excel and Publisher by using predefined templates or by creating them from scratch
- File documents – this includes the usage of electronic in addition to paper records
- Perform data gathering and research activities and provide reports or summaries of information collected
- Prepare or maintain reports of records and other statistical and quantitative data
- Assist in resolving problems and complaint raised by unsatisfied customers
- Coordinate and organise meetings and appointments
- Set up the Annual Meeting of the Town each May and liaise with local community groups who attend
- Maintain positive working relationships with colleagues, councillors, community groups, lead agencies including the police and members of the public
- Provide help and assistance to the Councillors and members of the public and liaise with other agencies as required
- Assist with organising community events
- Carry out all such other administrative duties under the instruction of the Town Clerk.
