About the role

We are keen to offer an apprenticeship position in our Newport office to provide general reception and administrative support to the partners and managers and maintain the office's daily tasks.

 

Skills & expertise

Although experience within an office environment would be beneficial it is not essential as this is an apprenticeship position. You will need to possess a high standard of accuracy, the ability to learn new systems and adapt quickly to change, and hold strong IT skills; although full training will be provided on how to use our systems.

 

Key Responsibilities

·        Maintaining and utilising data for clients and contacts electronically, using systemised procedures and processes to manage the data effectively and efficiently across our database and suite of software applications.

·        Help process the onboarding of new clients.

·        Preparing monthly draft bills for approval.

·        Preparing departmental correspondence for post or email.

·        Support during annual and ad-hoc marketing events and meetings, this includes controlling the invitations, and guest list, booking venues and arranging catering where required.

·        General office administration and housekeeping to include;

o   Post distribution, photocopying, scanning and filing.

o   Answering the phone and dealing with emails.

o   General housekeeping of the kitchen and boardroom areas.

o   Maintaining Stationery and Office supplies.

o   Provide marketing and data support.


This is not an exhaustive list of duties, and you will be expected to perform different tasks as necessitated by both your changing role and the overall business objectives of the firm.


About you

You will be self-motivated, possess a good telephone manner and have excellent communication and interpersonal skills to effectively deal with clients, partners, and colleagues. 

Good attention to detail and the ability to work well as part of a team or on your own are all qualities needed to succeed in this role.

You should have good time management skills.

an integral part of the business.  For incentivised individuals, this inclusive in-house training pathway is an initiative developed specifically for our people.


General terms and conditions:-

  • Initially national minimum wage, reviewed on agreed performance and training milestones
  • Time provided for training within working hours
  • Flexible hours around core office hours 9am till 5.30pm but reception closes at 1pm on a Friday.
  • 37.5 hours/week
  • 20 days annual holiday (three taken at Christmas for close down) plus bank holidays – increasing after training
  • Employee assistance programme

Candidates will need to have achieved Maths and English at GCSE grade 4 or equivalent grades A-C (9-4) or level 2 functional skills before completing the apprenticeship.
