OVERVIEW OF ROLE
- Responsible for the following processes with the Finance Department for the Mountbatten Group including associated subsidiaries.
- Responsible for managing the day to day operations for the Finance Department.
- Provide support to the Finance Office and Finance Administrator as necessary to enable them to carry out their day to day duties.
- Oversee and manage the work of the Finance Office and Finance Administrator.
KEY TASKS:
CASH AND BANKING
· Responsible for the timely reconciliation of the charity’s main bank accounts
· Liaise with fundraising to ensure the correct department and fund coding of income
· Liaise with the accounting team to ensure the correct coding of customer income and supplier payments
FIXED ASSET REGISTER
· Day to day operation of the fixed asset registers
· Recognise additions and sales of fixed assets onto the fixed asset registers and accounting records at their correct values and in accordance with the company’s accounting policy
· Calculate the monthly depreciation in accordance with the company’s depreciation policies, preparing and recording the journal entries
· Reconcile the fixed asset register totals to the balance sheet net book values on a monthly basis at month end
VAT ACCOUNTING
· Maintain the necessary VAT accounts in the books of account of the company to properly record VAT paid and charged and to prepare and submit periodic VAT claims to HMRC
· Ensure that purchase and sales VAT are correctly coded and allocated to the appropriate VAT accounts in the accounting records of the group
· On a quarterly basis, prepare for review and subsequently submit the VAT return to HMRC
· Ensure that all VAT documentation is correct filed in preparation for the annual audit by external auditors and/or HMRC
· Remain up to date with all relevant VAT legislation and source and attend all training necessary to maintain compliance with VAT legislation
ACCRUALS, PREPAYMENTS AND DEFERRED INCOME
· Raise and post accruals as necessary to ensure that costs are accounted for in the correct time period
· Correctly post payments of accrued expenses to the accruals creditor account in the balance spreadsheet
· Prepare the monthly reconciled accruals schedule
· Ensure that prepayments are correctly accounted for and released over the correct time period to which they relate
· Prepare the monthly reconciled prepayment schedule
· Where the company receives income in advance (such as grant income) ensure that it is properly accounted for and recognised as income in the correct time period
· Prepare the monthly reconciled deferred income schedule
OTHER RESPONSIBILITIES
· Prepare and process the monthly payroll journals for the employing organisation from information obtained from the outsourced provider
· Prepare and process the monthly retail journals
· Prepare and process the routine accounting journals for all of the above entries within deadlines to ensure the production of timely accounts
· Ensure that month end and year end account closure deadlines are met
· Prepare and post cross charges between group companies and ensure that inter-company balances are reconciled
· Support the Group Financial Accountant with the production of reports and information as required
· Assist the Group Financial Accountant and Finance Director with the yearly audit process
· Ensure that Restricted Fund activity is identified and that the schedule of Restricted Funds is updated and reconciled on a monthly basis
