Finance Assistant Apprentice at UKSA

Key Purpose:

  • To ensure the accuracy and integrity of the Purchase Ledger function
  • To process finance transactions in an accurate and timely way to meet pre-set deadlines
  • To provide cover for other members of the Finance Team as required
  • Development of finance skills above and beyond the Finance Assistant role
  • The duties and responsibilities will include, but are not limited to:

Note: full training and support will be given for all tasks below

Purchase Ledger

  • Overseeing the matching of purchase ledger invoices to orders on Portal/system and ensuring all queries are resolved speedily 
  • Input of DD purchase ledger invoices to Finance system and taking responsibility for the timely and accurate input of all purchase ledger invoices
  • Maintaining effective filing of paid purchase ledger invoices, and assisting with enquiries including photocopying of invoices as requested
  • Monthly reconciliation of supplier statements and resolution of anomalies
  • Payment of suppliers by BACS, cheque, and transfer
  • Monthly reconciliation of UKSA senior management team credit cards statements and resolution of anomalies

Reconciliations

  • Weekly bank reconciliation and correction of errors/problem solving
  • Reconciliation of monies from coffee shop/bar, tuck shop and reception (cover only)

Banking

  • Handling daily petty cash transactions, including advances, clearing expenses, preparing victualing monies and input of petty cash expenses to finance system
  • Reconciliation of petty cash balance
  • Preparation of banking and input of bank transactions to finance system 
  • Dealing with bank mandates and instructions
  • Input of PDQ receipts from shop/bar
  • Reconciliation of monies from coffee shop/bar, tuck shop and reception (shared responsibility)

 

 

Other Duties

  • Covering for, and assisting with, daily office functions as required
  • Prepare for and take full part in 1-1 reviews with manager
  • Ensuring adherence to all policies and procedures and promoting the Vision, Purpose and Values of UKSA

Role Development Opportunities

  • Reconciliation of Asset, Inventory and Depreciation control accounts
  • Assisting with other control account reconciliations 
  • Testing UKSA’s internal financial control environment 
  • Developing senior management and board level reporting skills

Qualifications:

 

 

  • Association of Accounting Technician, or prepared to work towards it

 

Experience:

 

  • Proven experience in purchase ledger processing and reconciliation

 

 

Skills:

 

  • Strong IT skills; Excel and Outlook essential
  • Numerate, with a high degree of accuracy and attention to detail

  • Able to prioritise and work to monthly deadlines
  • Open and friendly personality, able to handle enquiries effectively

The current National Minimum Wage (NMW) rate for apprentices is £3.70 per hour. This applies to 16-18-year-old apprentices and those aged over 19 in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training.
