This would suit a school or college leaver or someone who is starting out in Business Administration but who does have experence in customer Service as the role will involve dealing with people confidently. 


Job Description – Admin Apprentice

In line with the aims, targets and policies of the school:

  • To provide a clerical and administrative function, to ensure effective organisation of the school office, including the use of computer technology
  • To provide administrative support to the Headteacher and the staff

There will be a requirement to treat information with discretion and strict confidentiality at all times.

Key tasks

Main Duties


Receiving visitors and maintaining visitors records

Telephone calls and relaying messages

Receiving and dispatching school mail

Contact with parents/children/staff and governors – face to face and via phone and email

Selling of uniform

Dates for the diary – keep up to date

Annual list of dates for families and staff

 Typing and word processing

Use of various software packages

Reprographic work

Photocopying and distributing newsletters and circulars

Photocopying, collating and assembling staff documents

Use of email

Oversee the families@ email address, replying and forwarding messages as appropriate

 Filing and Office Management

Maintain filing system for all official documents, retrieve information as required

Update files of suppliers and publishers

Maintain an orderly office at all times

Disposal of confidential papers

Use Teacher 2 Parents and School Money information and data systems

To maintain the staff and children database within SIMS

Log staff absence on SIMs

Oversee the music lesson organisation

 Financial duties

Receive goods and check against delivery notes and copy orders

Ensure all monies are safe and organised at all times, adhere to all financial policies and procedures

Receiving money for trips, uniform, music lessons etc

Collect, account and bank school money received


To attend SIMS training and any other training as required

Such duties of a similar nature as the Headteacher or School Development Manager require.

First Aid training, safeguarding and Health and Safety as required




Headteacher, teaching staff and other school staff


Contractors and members of the public

Representatives of the Local Authority and other outside agencies


Report to School Development Manager
